Prep labelling machines: what to look for in a commercial kitchen

Labl.it device in a commercial kitchen

A prep labelling machine prints the labels that go on food you've made or opened for use in your own kitchen. Product name, prep date, use-by date, allergens, and ideally the initials of whoever made it.

It's the highest-volume labelling most commercial kitchens do, and the first thing an environmental health officer looks at when they open a chiller. Here's what separates a machine that gets used from one that ends up collecting dust in a cupboard somewhere.

Handheld or fixed

Prep happens across a kitchen, and so a machine fixed to one bench means walking to it and back for every label. That’s slow, time consuming, and ultimately it will be the reason people stop using it during a busy prep run. A machine that is only used for half your prep will only ever be able to produce half a record, which might look like compliance on the surface, but won’t hold up to an inspection.

Handheld goes to the food. It’s where it’s needed, all of the time, and that’s pretty much the whole argument. It's why Labl.it launched the first handheld device for commercial kitchen prep labelling in the UK back in 2021 - we come from kitchens, and we know the importance of versatility and portability.

Not to mention, a fixed printer tends to take up a lot of space on a countertop. A small device that can sit up on top of the pass, out of the way, is going to be welcomed into kitchens a lot more than a massive machine taking up valuable workspace.

Does it work out the dates?

The same product has a different shelf life depending on what happens to it next. Vac packed, clingfilmed on a tray, or straight into the freezer give three different answers.

A machine that prints whatever someone types has moved handwriting onto a screen without removing the part that goes wrong. The person is still recalling a rule, doing a calculation and hoping they've got it right, several dozen times a shift.

A machine worth buying holds the rule and produces the date. Labl.it calculates expiry according to how each item is being stored, so the answer comes from something you set once rather than from memory at seven in the evening.

What else does it do?

Prep labels are your daily volume, but a lot of kitchens need more eventually, whether that’s a different label type, some clarity on wastage, or reporting.

If you sell anything pre-packed for direct sale, sandwiches, boxed cakes, pre-made salads, you need PPDS labels with a full ingredients list and the 14 declarable allergens emphasised. Some operations also want HACCP labels, sale labels with pricing, or batch codes. Labl.it can switch easily between prep and sale, and customisable fields on the sale labels mean kitchens can add anything from price to address.

Check the full range of features in a labelling system before buying. Discovering a gap after you've loaded 200 products is less than ideal.

Running costs

Two things to establish, because the headline figure on a supplier website might not tell the full story. At the time of publishing this article in October 2026, there are no food labelling solutions that include labels in the cost of their subscription, they all sell them separately at an extra cost. Keep this in mind when reviewing what looks like the ‘cheapest’ option.

Consumables

Thermal printing with Labl.it means labels are the only necessity you have to buy: no ink, no cartridges, nothing else outside of your subscription. Ask how labels get reordered, because a purchase order and a three-day wait means running out mid-service eventually. Labl.it labels are ordered from the device itself at £1.95 a roll for 180 (bulk discounts available), always with free delivery.

The commercial model

Large upfront hardware costs and long lock-ins are common and worth resisting. Labl.it runs on a monthly subscription at £34, or £28 on the annual plan excluding VAT, with the device included, no upfront cost or deposit, and no mandatory long-term contract. We always allow cancellation at the end of your billing period, because we don’t see the benefit to anyone in forcing you to pay for a system you aren’t loving.

What happens when it breaks?

This is a massive pain point for most commercial kitchens. Kitchens are hot, wet, greasy and fast, and so naturally, equipment fails in them. Ask any supplier you speak to for the actual process and timescale when something goes wrong, and ask what's chargeable.

Labl.it sends a replacement device the next working day under a 24-hour hot-swap, with UK-based support on weekdays and live chat outside those hours. With an active subscription, you get an infinite warranty* (excluding accidental damage or loss), and if you do accidentally damage it, we only bill you for the cost of the repair - we don’t charge for delivery or labour.

Will a new starter use it?

Kitchen turnover is unavoidable, with a 52% UK hospitality turnover rate recorded in 2024, according to Spoke and Stringer, 2026. Any machine that needs in-depth training to be usable will inevitably start getting ignored or misused.

The test during a trial: hand it to someone on their first shift or who tends to struggle with the tech side of kitchens, and see whether they can produce a correct label without being shown. Labl.it prints from saved products in three taps, with bulk printing for full prep runs and a barcode on every label so a damaged one can be scanned and reprinted rather than rewritten. That’s the kind of simplicity that translates into actual value for a kitchen team.

What it should record

An inspector assessing how you manage food safety wants evidence of consistency over time. Handwritten labels leave nothing behind once the food has gone, which is why a print log recording every label and who printed it comes in really handy.

Labl.it's back office also keeps an expiry log, wastage reports, and a history of product amendments showing what changed and when.

Frequently asked questions

What is a prep labelling machine?

A device that prints labels for food prepared in your own kitchen, showing the product name, prep date, use-by date and allergens. In commercial kitchens these are usually handheld thermal printers holding a stored product list or fixed printers connected to an app or online software.

Handheld or fixed: which is better for prep labelling?

Handheld, for most kitchens, because prep happens in several places and a device that moves with you doesn’t slow anything down. Fixed machines suit operations where labelling genuinely happens at one station, such as a dedicated packing bench, but they still take up much-needed counterspace.

Should a prep labelling machine calculate use-by dates?

Yes. Shelf life varies with storage method, and a machine that only prints what someone types leaves the calculation with the person under pressure, a compliance and consistency risk.

Do prep labelling machines need ink?

Not Labl.it, as we use thermal printers which don’t require ink. WIth our system, labels are the only consumable, which makes running costs comfortably predictable.

Can one machine print prep and PPDS labels?

Labl.it covers EHO prep labels, PPDS and Natasha's Law labels, HACCP labels and sale labels on the same device. Not all machines do.

How much does a prep labelling machine cost?

Labl.it is £34 a month or £28 a month on the annual plan, excluding VAT and priced per device, with the machine, next working-day replacement hot-swap and UK-based support included. Labels are £1.95 per roll of 180, with bulk discounts available and always free delivery.

What happens if the machine breaks?

Labl.it replaces a damaged device the next working day under a 24-hour hot-swap. Make sure to ask any other supplier what their policy is.

Try it in your own kitchen

Specifications only tell you so much. Whether a machine suits your kitchen depends on your layout, your prep volume and your team. The best way to figure out what fits is to actually try it.

Labl.it comes with a 14-day free trial. Load your own products, use it through a normal week, and judge it on that. If it isn't right, return it in the prepaid box at no cost.
